CIMS Services - On Line Office

Risk Manager |

Practice Manager |

For each patient in your practice, our Practice Manager will identify all the information in the patient care cycle that is required in order to assure a high percentage of authorizations and payment. After you have registered your patient, completing all the information required, we will verify your patient's benefits and preauthorization requirements. We will then print out on your printer your “Day Sheet” of all the patients you will see that day. In addition to the patient's name, this will have the CPT Code, the ICD-9-CM Diagnosis Code. There will be a section for the patient's payment and their check number. |

Claims Manager |

For each patient in your practice, our Claims Manager will prepare your claims for submission and processing. There will be no need to send or fax us anything! If you have done your part (i.e., enter all the registration information required), at the end of the day we will gather all the encounters ready for claims processing. We will prepare your CMS 1500 forms and your ANSI 837P electronic files. Whether you submit paper claims or electronic claims, we will assure that each claim is clean before it is submitted. We will assure that our Clearinghouse will process your claim and submit your payment The Insurance company will mail an Explanations of Benefits (EOBs) and checks, PAYABLE TO YOU, to our secure, locked post office box. We will scan them into our document imaging system, and post them to the patients’ accounts. Once a week, we will deposit your checks into your bank account and return the original Explanations of Benefits to you along with a list of the deposited checks. We will use the internal ChartEvolve email system to let you know the amount of the deposit so you can record it in your checkbook right away. All reporting showing all active clients with authorization numbers, number of visits authorized and number of visits left, birth dates and policy numbers, the name of the managed care company, their telephone and fax numbers is available to you in the ChartEvolve Reporting System. We will follow up on any claims that appear to have been paid incorrectly. We will also mail statements to your patients on a monthly basis. |

Utilization Manager |

For each patient in your practice for which there is a denial of payment, our Utilization Manager will begin the Appeals Process. We will submit the documentation necessary to argue your case, including progress notes and additional treatment planning that may be required. |

Outcomes Manager |
per hour $150.00, billed in 15 minute increments |
For all the standard metrics reported in ChartEvolve, our Outcomes Manager will provide you with reports based on your needs. We will help to identify the content and periodicity of your reporting needs. We will then print out the reports you wish to review on the regularity that is meaningful to you. |

You may send an email through your own email client or through ChartEvolve. You will receive an email stating that we have received your help request. Please state whether you wish to be contacted by a return email or by phone. If you wish to be contacted by a return email, our Help Desk Associate will provide a response to your email in the order in which it was received. If you wish to be contacted by phone, please provide the phone number you wish us to contact you by. Our Help Desk Associate will return a call to you in the order in which your request was received.
On Line
For those who wish a more personalized service, Our Help Desk Associate will be happy to dial into your system and view your concern or question while on the same screen with you. We will, simultaneously, communicate with you by phone. We may ask you to download an applet in order for us to view your computer. This method is the preferred method for those who find a conference style discussion useful.
Online Training
The CIMS Group provides convenient On Line Webinars for our clients.
We limit our webinars to 30 minutes in order to conveniently fit into your schedule.
